WHAT YOU WILL BE DOING (ESSENTIAL DUTIES) ...

This position will oversee all aspects of facility management and project coordination for Newport Mental Health, which operates multiple office sites across Newport County. This role will be responsible for managing building renovations, ensuring the safety, cleanliness, and functionality of all facilities, and coordinating with internal and external stakeholders to support the organization's mission of providing quality mental health services to the community. This position requires excellent communication skills and the ability to lead a team in a fast-paced environment. The ideal candidate will possess a strong background in construction project management and have proven success providing effective leadership, unparallelled customer service and sound judgement. The Facilities and Project Manager should excel in escalating issues as necessary and adeptly prioritizing projects to ensure seamless execution.

Essential Duties:

  • Oversee and manage construction projects from inception to completion, ensuring adherence to timelines, budgets, and quality standards.
  • Coordinate with contractors and vendors to facilitate smooth project execution, serving as a liaison between various stakeholders.
  • Oversee renovations, building expansions, and infrastructure improvements to NMH building portfolio.
  • Negotiation of contracts, evaluation of vendor performance, and ensuring vendor compliance with project requirements.
  • Supervises all agency facilities personnel.
  • Follows all standards of operations for building cleaning, including oversight of external cleaning service contractors.
  • Maintains and monitors all safety systems including alarms, badges, and managing the database for staff access.
  • Design, coordinate, conduct and report on Disaster Drills for each site including the coordination of fire drills.
  • Ensure compliance with safety signage and regulations, prioritizing the safety of all personnel.
  • Review and update policies on Life Safety, Environmental and Emergency Preparedness with collaboration of the Quality Improvement Department to meet Joint Commission requirements.
  • Manage keys to all buildings and medication cabinets, ensuring secure access and proper protocols.
  • Participate and maintain minutes of an Incident Command Response team.
  • Maintain the facilities work request ticket system and provide resolution of all work request tickets in a timely manner.
  • Maintain agency vehicle auto services, insurance, and registration.
  • Organize and track office moves, coordinating logistics and resources as needed.
  • Assist, consult, and ensure execution of Facility Master Plans, contributing to the strategic development of facility infrastructure.
  • Keep minutes and track action items for the Facilities and Safety meetings.
  • Inventory, track and maintain agency cleaning supplies.
  • Collaborate with the CFAO to annually review Umbrella and General Commercial insurance/risk programs, ensuring comprehensive coverage and risk mitigation strategies.

WHAT WE EXPECT OF YOU...

  • Bachelor's Degree preferred.
  • Prior experience in construction project management preferred.
  • Vendor management experience preferred.
  • Agile Certification (PMI-ACP, ICP, CSM, PSM) preferred.
  • High degree of interpersonal skills to effectively interact with personnel at all levels.
  • Strong oral and written communication skills.
  • Self-motivated with a willingness to learn and adaptable to change.
  • Ability to function with minimal supervision and oversight.
  • Ability to safely lift and carry as much as 50 pounds.
  • Valid Driver's License and reliable transportation to travel between locations within Middletown, RI.
  • Minimum of 5 years of experience with facilities, safety, and security.
